Oak Tree User Manual
What is the Oak Tree Application
Oak Tree is a web application provided by the Acorn Scholarship Fund. The Fund provides scholarships to Associates of the Cypress of Raleigh Club. Oak Tree supports applying for scholarships and individual grants and approving these applications. Users access Oak Tree using their web browsers.
User Roles
Oak Tree supports three user roles:
Associate. Associates are employees of the Cypress of Raleigh Club who seek educational support.
Chair. Chairs are the heads of the scholarship committee. Chairs approve applications for scholarships and assign mentors to Associates.
Mentor. Mentors have Associates assigned to them. They work with Associates to complete the application process and advise Associates on their educational plans.
Forms Supported
Associates apply for scholarships by completing forms in Oak Tree. The application supports six forms:
Associate Scholarship Application. Associates applying for the first time complete this form listing the department where they work, the educational program they plan to attend, the reason for selecting their program, and a brief description of their career goals.
Associate Scholarship Payment Form. Once Associates are approved for a scholarship, and they have received invoices for the tuition and fees, they submit this form to have a tuition check sent directly to their schools.
Dependent Scholarship Application. Associates who wish to apply for scholarships for a child or other dependent use this form. It is similar to the Associate Scholarship Application, but includes information about the dependent.
Dependent Scholarship Payment Form. Similar to the Associate Scholarship Payment Form, this form is used to have the tuition payment sent to the schools.
Individual Grant Application. Associates use this form to apply for grants to pay for education expenses other than tuition and required fees. Examples of such expenses include costs of books, computers, fees, uniforms, and equipment used for classes.
Returning Recipient Notification. Associates who have already attended one or more terms do not need to submit applications for subsequent terms, unless they are changing schools or programs. However, they need to submit the simple Returning Recipient Notification to indicate if they are continuing their education. This submission allows the Fund to estimate the amount of scholarships to be paid in the next term.
